Artificial intelligence (AI) has already become one of the most important sources of competitive advantage in the world. It is no longer viewed as a supplementary technology, but as a force capable of fundamentally improving the way any company operates. However, in Ukraine, the actual level of AI adoption remains very low. Only leaders and innovators can share successful experiences of integrating modern technologies into their processes. Among them is Ribas Hotels Group, which began actively implementing AI in late July 2025. “To date, we have already deployed our own infrastructure — a dedicated website that brings together a number of AI-based solutions,says integrator Oleksiy. “Key tools include systems for analysing audio calls, automation of financial monitoring checks, and multi-level auto-filling of documents, reports, and Google Sheets.”

Transforming Business Processes and Automating Routine Tasks

Despite the obvious interest, the degree of AI adoption in many companies remains limited. That is why the experience of Ribas Hotels Group is a valuable reference point for other companies where modern technology initiatives remain experimental and never evolve into company-wide solutions.

For example, according to Oleksiy, Ribas Hotels Group has already integrated AI into the work of various departments, including:

Employee Training. The company regularly conducts training for staff on both the basics and advanced use of AI applications. This enables the effective integration of AI tools into everyday workflows.

HR Automation. An AI bot for lead intake has been implemented, along with an auto-file creation system (TORCH) with scheduled open/close functions. A call analysis system is also used to monitor staff performance quality and identify opportunities for service improvement.

Operational Management. A platform for managing checklists has been created at the global level of hotel operations. Administrators fill in forms, after which the system automatically generates and sends reports to managers and the CEO.

Legal Department. Automatic contract completion has been set up to speed up document processing.

And this is only part of the AI work underway. Overall, the company has already successfully resolved many other similar automation tasks, and a significant number of new AI solutions are currently in development and testing.

Global practice confirms that where AI has been effectively implemented, its value can be measured and it becomes the cornerstone of a company’s modernisation. For Ribas Hotels Group, the primary benefit of AI has been a significant increase in the productivity of each employee. “By delegating routine and mechanical tasks to AI, we unload the team, save time, and allow specialists to focus on more important processes,” says Oleksiy.

That is precisely why, as he emphasises, investment in AI is a real growth engine. By putting resources into automating office routines and developing systems for competitor analysis, a company can free up its team’s time for strategic tasks. This allows the business to scale much faster, make management decisions based on accurate data, and remain a leader in innovation adoption within the hospitality market.

Challenges and Opportunities

Indeed, where AI is effectively implemented, its role ceases to be experimental and becomes evolutionary. That is why the greatest benefits are achieved by companies that treat AI as a strategic resource, invest in staff training and management, successfully transition from pilot projects to full-scale implementation, and systematically assess value while managing risks.

According to Oleksiy, the main challenge in this area is data security. “That is why we store all information exclusively on our own servers, preventing leaks through open AI models. We also focus on team adaptation: employees must learn to oversee AI operations to avoid hallucinations and errors, while always maintaining a live, empathetic service for our guests,” he shares.

This is why AI implementation is simultaneously a technological and an organisational transformation for any company. But despite all the challenges, those who manage to overcome them can build competitive advantages that will become increasingly difficult for others to replicate.
