At some point any company begins to automate its work. This is due to various factors, but chief among them is the optimization and acceleration of internal processes. In the 21st century, the use of automation is becoming key for companies that want to remain competitive and successful.

The main problems of non-automated business:

  1. A large amount of time is spent on cyclic processes.
  2. Unstructured data.
  3. A large number of errors.
  4. Failure to follow business logic.

Why should business processes be automated?

  1. Distribution of work among employees. Implementation of an automated system allows each employee to see what tasks are in front of them and when they need to be completed.
  2. Reducing the impact of the human factor on business processes. This means avoiding data loss, postponing simple tasks and building a customer base.
  3. Protecting data from cyberattacks. An automated system allows you to track all activities, making it much easier to address security issues.

Although automation is rapidly developing around the world, it is not yet possible to fully automate all processes. Some tasks still need the involvement of managers. Among them, we can highlight personnel search and management, corporate culture of the company and communication with customers. However, in general, automation can cover the following processes:

  1. Managerial. They relate to the strategic management of the company and employees.
  2. Operational. Includes marketing, sales, technical support, production, engineering.
  3. Service. System administration, accounting, logistics, etc.

Personnel adaptation and training in the Sintegrum online system

One of the automation solutions is the Sintegrum service that provides staff training. There are many features available in this program, and most importantly, you can build the entire process yourself using a simple interface. There are various functions here that facilitate not only the assimilation of information by a person, but also the process of selecting, adapting and familiarizing employees with their responsibilities.

For example, a candidate can answer questions in the program even before he or she is hired, and when adapting or upgrading skills, a manager can independently develop the structure and sequence of information provision. This makes the whole process more efficient and convenient for all participants.

Initially, units and positions are created in the program. The first stage of building the program is recruiting. It allows you to prescribe tasks for a candidate for each position: tests, text questions, videos or interviews. When a new employee is added to the program, he or she can be assigned a responsible mentor to check his or her homework.

The next stage simplifies the process of employee adaptation. Managers set up the program from 0: they think about the materials they want to put into the system, the sequence of information and tasks. The modules themselves may contain text and video materials, tables, pictures and links to internal company documents.

The third stage is the integration process. When all the training material assigned to a certain position and hotel is outlined in the system.

The fourth step is for the employee to upgrade their skills. At this stage, additional materials and tasks are loaded into the system.

In addition, the program provides a knowledge base where additional company training materials can be placed.

How it works at Ribas Hotels Group

We started working on the implementation of the Sintegrum program in July 2021. Heads of departments, hotel managers and consultants (hospitality specialists) were involved in the project. This is quite a large amount of work. The first training for hotel employees took place already in November 2021.

Currently, it successfully covers such a major task in our company as providing training to potential candidates at the stage when an employee has had an interview but has not yet started the internship. During the probation period at the hotel, he or she comes with certain knowledge that needs to be put into practice.

It also helps us with candidate structuring, performance appraisals and employee development.

We give employees access to a knowledge base with trainings and all internal working documents. This is a great opportunity to receive training on any topic they are interested in. For example, if an administrator wants to further develop and learn the SMM profession, he or she can find materials on this topic on the platform.

Currently, online training takes a fair amount of time given the amount of information, but it greatly reduces the time spent by the hotel manager on the internship, and the probationary period itself is shortened by 1-2 days, depending on the position.

Process automation is a key element for achieving efficiency, optimization and success in today's business environment. By carefully selecting processes to automate, a company can significantly improve its performance and stay one step ahead of the competition.
